Meeting Agenda:

1. Frequency of Meetings and Communication

Meetings between the Trade Union Organization and IKEA Česká republika, s.r.o. will be held once a month as part of regular communication, at least until the end of June 2025. The meeting frequency will be confirmed in the next session, considering the union's objectives and personnel changes in IKEA Česká republika, s.r.o.

Both parties will send each other questions or topics for discussion at least one week before the next meeting. If there are no urgent topics requiring discussion, the meeting may be postponed or canceled.
The next meeting is scheduled for March 7, 2025.

Trade union communication will be structured to be entirely distinct from all internal IKEA communications.
Communication between the Trade Union Organization and IKEA Česká republika, s.r.o. will take place via the IKEA work email.
Trade union-related messages will be shared exclusively in designated spaces (bulletin board). No other internal communication channels (e.g., activity list, newsletter, Hej!, SharePoint, distribution lists, etc.) will be used.

The Trade Union Organization may share its communications with IKEA Česká republika, s.r.o. in advance. However, IKEA Česká republika, s.r.o. will only acknowledge these communications without approving their content.

By the end of Week 4, IKEA Česká republika, s.r.o. will receive a proposal outlining the time allocation for the activities of the trade union leadership and secretaries.

2. Trade Union Surveys

The survey on the Trade Union website will be concluded between March 1 and March 31, 2025 (depending on the timely posting of Trade Union communication in other IKEA Česká republika, s.r.o. units).

The Trade Union Organization presented the survey questions to representatives of IKEA Česká republika, s.r.o., who disagreed with some formulations, considering them suggestive, biased, and misleading. Some questions were also deemed inappropriate. These concerns were communicated to the Trade Union Organization during the meeting.

This and any other surveys conducted by the Trade Union Organization are fully under its jurisdiction. The Trade Union Organization may share survey results with representatives of IKEA Česká republika, s.r.o., who will acknowledge them without obligation to respond or act upon them.

Starting April 9, 2025, IKEA's employee survey will be available on IShare.

3. Participation in Events and Resources

Trade union secretaries are allowed to inform employees of IKEA Česká republika, s.r.o. about the formation of the Trade Union Organization during FIKA/tertiary breakfast in T2 FY 2025. This communication will solely focus on the union's formation, and trade union representatives will not promote other union activities or encourage participation.

Trade union representatives will have reasonable access to printers and other necessary resources. Meeting rooms will also be available within reasonable limits and in accordance with the agreed-upon time allocation for trade union activities. The maximum time allocation will be confirmed later.

After working hours, meetings may be organized to inform employees about trade union activities.

4. Information and Sharing

Information and communication about the Trade Union Organization within IKEA units will be handled exclusively by a union member/secretary.

By the end of Week 4, designated spaces will be provided in other IKEA Česká republika, s.r.o. units for sharing trade union information.

IKEA Česká republika, s.r.o. acknowledges that meeting minutes, as agreed upon by both parties, may be published on the Trade Union Organization's website.

The trade union website will include updated information on extra leave days, statutory leave entitlements, and additional leave granted by IKEA Česká republika, s.r.o.

IKEA Česká republika, s.r.o. informed the Trade Union Organization that multiple employee representatives exist, primarily the European Works Council (EWC). During the meeting, the Trade Union Organization was encouraged to communicate with EWC representatives, as this collaboration could benefit IKEA employees.

The Trade Union Organization was also informed that in the event of any changes initiated by IKEA Česká republika, s.r.o. that impact employees (e.g., transformations, remuneration, etc.), all social partners will be informed simultaneously.
